Job Role: Property Transfer Administrator (Ref 1690)
Location: Hybrid/Glasgow
Salary: £20,000-£21,000 per annum plus benefits
Job Sector: Retirement – PSL Estate Accounts
Hours: Monday to Friday 9am-5pm (35 hours per week)
The job role
To effectively record all property re-sales so as to ensure that the ownership details of each property are correct. To provide prompt and correct details to vendors and their solicitor in respect of development information required for resale.
Communicate with solicitors by letter, email and phone regarding to the details of properties we manage so that they are able to transfer ownership. These details are likely to include; insurance information, estimated expenditure for the property and details of any major works.
Invoice solicitors for an administration fee when we provide information.
To apportion service charge accounts between owners when sale occurs or apply float charges where applicable.
Issue welcome letters to new owners.
Issue demands for and record collection of administration fees from solicitors in respect of re-sales.
Investigate and identify whether float is repayable via FirstPort or transferable between owners and refund where applicable in respect of sold properties following issue of final accounts.
Deal with appropriate telephone and written communication with clients and solicitors including queries concerning accounts and floats.
Update the database when ownership of a property changes.
Facilitate customer payments by phone.
Assist with credit control as and when required.

Customer service – a passion for providing an exceptional level of customer service at all times, ideally in a face to face environment.
Communication – a natural communicator, with the ability to resolve issues and complaints effectively
IT – able to operate Microsoft Office applications, and confident in learning new systems
Administration – organised, methodical and experience of keeping accurate records
Personal – an outgoing personality, with the ability to build professional relationships with colleagues and customers, self-motivated, pro-active, team oriented, and innovative.
