EA Recruitment is currently recruiting a Lettings and Property Management Coordinator for our client based in Central London. The successful candidate will need to be extremely organised, have high attention to detail, excellent communication skills, be a team player and have previous Lettings administrative experience. This will be a very busy role where you will be coordinating the rental and property management departments, assisting both teams on a day to day basis as well as getting heavily involved with marketing and accounting.

KEY RESPONSIBILITIES:
General Admin:
• Hands on assistant to all negotiators and property manager
• Answer phone calls from Landlords, Tenants and contractors
• Organise viewings and tours for negotiators
• Organise diaries, book keys out and keep the system up to date
• Organise the general running of the departments
• Keep all files up to date
• Keep tenancy information up to date including renewal, start and vacating dates
Marketing:
• Organise photos and floorplans to be taken of new properties and then preparing marketing and brochures for each property
• Organise the window display and ensure it is kept up to date
• Organise magazine advertisements
• Ensure the website is kept up to date
• Update CRM and upload property information
Accounts:
• Send out rent demands to tenants
• Send out Fee invoices
• Send out works invoices to landlords
• Chase late rent
• Liaise with the accounts department daily
• Chase other agents for fees
Management:
• Booking inventory check-ins and outs, notify the landlord and tenants
• Complete name changes for all utilities at the beginning and end of tenancies
• Coordinate gas safety certificates, electrical certificates and EPCs and ensure they are up to date
• Booking pre-tenancy cleans
• Update payment spreadsheets- log invoices and payment dates
• Collect and forward post for void properties
• Attend property visits when required
• Obtain quotes from contractors and liaise with landlords and tenants
REQUIREMENTS & JOB SPECIFICS
• Minimum 1 years’ work experience within the property sector (Property Management or Administration).
• Excellent oral and written communication skills
• Computer literature with good working knowledge of Office, Excel and Word and willingness to learn new software packages
• Excellent time management and organisational skills
• Self-motivation with an ability to actively seek out ways to improve departmental procedures
• Confident in dealing with HNW individuals
• Ability to work well under pressure
• Adaptable, flexible and prepared to get stuck in
BENEFITS & PACKAGE:
• Up to £28,000.00 pa depending on experience
• Commission from the department once probation passed
• Future earning potential of up to £31k pa
• Working hours Monday to Friday 9:00am – 6:00pm
