Job title: Commercial Property Assistant

Accountable to Commercial Property Manager Responsible for Assisting in the management of Sovereign’s commercial real estate portfolio

• To be successful in this role you will need:
• Previous experience in property management and administration.
• Ability to work to deadlines
• Strong organisational skills
• Strong IT skills particularly in Word, Excel, PowerPoint, Outlook
• Access to a car and full UK driving licence

Job Purpose

Responsible for assisting in the management of Sovereign’s core commercial portfolio and Sovereign’s commercial re-development portfolio.

To work collaboratively across peer-groups, Housing and Customer facing functions, Health, Safety and Compliance Teams and Asset Management to influence great outcomes.

Previous property management and administrative experience is essential.

Key Deliverables

Development and management of Sovereign’s core social commercial portfolio including:

• Basic understanding of Landlord and Tenant Act 1954.
• Liaising with a team of external lawyers and surveyors to ensure best management practice of the core commercial portfolio, including lease renewals and assignments.
• Assisting with the re-letting of vacant commercial units, under the direction of the commercial Property Manager.
• Awareness of statutory requirements including but not limited to: Money Laundering Regulations 2017, Estate Agents Act 1979,Misrepresentation Act 1967 and MEES 2015.
• Maintain positive relations between Sovereign and commercial tenants
• Ensure all key legal documentation is up to date and that an extranet of key legal documents is managed and maintained by our framework solicitors.
• Carry-out site inspections including identifying breaches of lease agreements. (Training provided) & Undertake site visits to take hand-over of void properties.
• Keep record of tenant’s compliance obligations up to date and report to Building Safety and Compliance Team
• Liaise with Company Secretary to prepare documents for signing and sealing.
• Raising and circulating purchase orders.
• Improve the overall customer experience.
• Observe and comply with Sovereign’s policies and procedures and observe and continually promote equality and inclusion and customer care in compliance with organisational aims and objectives.
• Participate in learning and development activities that develop personal effectiveness and assist in improving performance in the role.
• Undertake any other duties as may reasonably be required in line with the level of responsibility of the post and to meet the changing needs of the organisation.
